1. Why this exists
FIELDFOLIO is a tool for tradesmen and contractors to document work. This policy keeps it safe and useful for everyone. It applies to everyone who uses the site, the web app, or the iOS and Android apps, and it is part of the Terms and Conditions.
2. Do not
- break any law or help someone else break one;
- upload or share content you do not have the right to use, including other people’s photos, documents, or logos;
- upload photos or notes that show people in a way that breaks their privacy, such as inside a customer’s home where cameras are not allowed, or anyone who has not agreed where the law requires it;
- enter sensitive data you have no reason to hold, such as full payment card numbers, government ID numbers, or health records;
- falsify records: change dates, swap photos, or build a report to show work that was not done, or to mislead a customer, inspector, insurer, or court;
- harass, threaten, defame, or discriminate against anyone, or share hateful, sexual, or violent content;
- upload malware, or anything meant to damage, overload, or break the service or someone’s device;
- probe, scan, or test the security of the service without our written permission (see Security and Vulnerability Disclosure for the permitted route);
- use bots, scraping, or automated tools to pull data from the service, or to get around rate limits, plan limits, or abuse checks;
- share a login, sell seats you do not control, or resell access to FIELDFOLIO without our permission;
- pretend to be another person or business, or give false account information;
- send spam, or use our share links or email features to send unwanted messages;
- use the service in a way that exposes us or our providers to legal risk.
3. Shared reports and links
You are responsible for each report, folio, PDF, or link you share. Send them only to people who should have them. Do not share links publicly if they show customer details. Remove or blur anything you should not show, such as a house number, an alarm panel, or a person.
4. Crew and team accounts
If you run a crew or team, you are responsible for the people you add. Remove people who leave. Do not use one worker’s login for several people.
5. What we may do
If we think this policy was broken, we may remove content, disable share links, limit features, suspend or end an account, and, where the law requires or it is needed to prevent harm, tell the authorities. We will try to be reasonable, but we decide. A decision to act is not a promise to monitor, and we do not have to review content before it is shared.
